Event Management Tool

The Administrative Office of the US Courts (AO) serves as the administrative body for the Judicial Branch (excluding the Supreme Court). The AO provides a broad range of legislative, legal, financial, technology, management, administrative, and program support services to federal courts and its 30,000+ employees.  As part of a Conference Consistency Initiative, the AO is issuing this request for information (RFI) seeking the availability of an end-to-end event planning tool or suite of software.  The solution should be able to assist judiciary event planners in the areas of:

•·        Event Marketing

•·        Event Registration

•·        Venue Sourcing

•·        Housing & Travel

•·        Room Block Management

•·        Onsite Solutions

•o   Automated check-in

•o   On demand badge printing

•o   Attendance tracking for CEU credits

•·        Mobile Event Apps

•o   Attendee Schedules

•o   Speaker Profiles

•o   Networking

•o   Live polling

•o   Surveys

•o   Q&A

•o   Gamification

•·        Exhibit/Vendor Management

•·        Data Analytics and Reporting


The solution should be flexible enough to handle a small 25-person event to conferences with over 1500 attendees.  As a branch of the Federal Government, security around the solution is paramount.  All data collected through the solution must be kept within the continental United States in a secure facility.


Request interested vendors submit their capability statements in response to the above RFI to Skip Pirozzi, skip_pirozzi@ao.uscourts.gov and Anita Middleton, anita_middleton@ao.uscourts.gov by 1:00pm Eastern Time on April 3, 2019.  The capability statement should not extend 20 pages.  The statement should:

•·        Describe the company's event management tool, including all its capabilities and provide a website, if available, that demonstrates capabilities of the tool.

•·        Include an estimated price of the tool.

•·        Provide options on how to purchase the tool.  If available on an existing contract, documentation showing proof the tool is available the contract and the AO has authority to use the contract.
