STATEMENT OF WORK
FOR YELLOW RIBBON PROGRAM POST DEPLOYMENT EVENT


Service Description:


CONFERENCE ROOMS.
Contractor must provide the following to accommodate the Yellow Ribbon Training, conference rooms will be guaranteed to be available for use until all programmed activities have concluded.


Two Day event will consist of the following:

- Breakfast and Lunch followed by presentations, vendor displays on both days 30- 31MAR2019.
- One conference room to accommodate approximately 130 people (0700-1630 hrs) both days
- Enough round tables and chairs to sit 8, crescent style to accommodate attendees
- Two rectangular tables and four chairs at entrance of room for registration, and two tables inside room for staff and presenters.
- One conference room/Ccovered are to accomadate twenty five (25), 6' tables w/chairs for vendor displays
- One private room/area for private conversations between chaplain/counselor and Soldiers/ Family Members


EQUIPMENT.
Contractor must provide the following equipment and services to accommodate the Yellow Ribbon Program training for each day of scheduled training. Equipment must be guaranteed available for use until all programmed activities have concluded. Equipment requirements for one (1) open conference room include:


- Two Projector screen for each conference room
- Two Projector for the main conference room
- One Podium for one conference room
- One PA system, and Two wireless lapel microphone for main conference room
- Two small table for conference room to hold laptop computer projector
- Two TV/DVD for the school age & infant's room to play movies


LODGING ROOMS.
Contractor must provide rooms for off-island participants/presenters.
- Lodging required starting Wednesday 27 MAR 2019 through 01 APR 2019 as broken down below.  Total number of rooms is 180 during this period with Sixty Eight (68) rooms (double ocuppancy rooms) for the nights of 29-30 MAR 2019. A rooming roster will be provided closer to the date of the event.  
- 30% of rooms will be given an early check in NLT 10:00am on Friday 29 MAR 2019, and late checkout NLT 2:00pm if possible on the Sunday, 31 MAR 2019.

Room Breakdown by night:

27 MAR - 01 APR 2019 (2) rooms for  (5) nights
29 MAR - 31 MAR 2019 - (44) rooms for (2) nights
28 - 31 MAR 2019 - (6) rooms for (3) nights
29 MAR -01 APR 2019 - (16) rooms for (4) nights



PARKING.
Contractor must include prepaid parking within the contract, number of vehicles 40 for self-park on Saturday and approximately 40 overnight parking both days.


MEALS, BEVERAGE AND SNACKS.
Contractor must provide meals and snacks in the form of buffets for 30-31 MARCH 2019. Pricing must include tax and gratuity.


Meal Schedule: Saturday 30 and 31 Sunday 31 MAR 2019


- Breakfast buffet for 130 YRP to include adult participants, leaders and staff.
- Lunch buffet for YRP adult participants, leaders, staff.
- Beverage service in conference rooms replenished as needed (coffee, water and tea).
- Adult snack a.m. break (1) for morning both days
- Adult snack p.m. break (1) for afternoon on Saturday



NOTE: Meals and lodging may be adjusted 3 days prior to the event.
