THE PROJECT - Overview of project goals
Current Website Structure
The Council currently uses a website that has a CMS with four databases which the public can interact with and submit information to, as well as five back-end databases and other CMS tools. These are the Events Calendar Listings, Cultural Directory Listings, Instructional Listings, and Opportunity Listings. It is the organization's main tool and platform for accomplishing its mission as the central go-to source for the regions cultural information. The current site is built on a LAMP stack-- Linux, Apache, PHP and MySQL.
Since NCAC launched its current site in 2006, use of the site as a central source for cultural information and as a promotional vehicle has grown, with postings to the site, increasing 300% over 5 years and unique individuals who visit the site per month increasing over 70%. The site's address is posted on more than 100 sites as an important resource by municipalities, cultural organizations, the accommodation industry, the real estate field, by chambers of commerce and more, throughout the region.
The Need: The current condition of the site suffers from antiquated programming code, which has begun to show instability. The valued website tools that the cultural community use to share their information about events, opportunities, instruction and general information do not always function consistently, requiring precious staff time to address these issues on an increasing basis.
It has been determined that the current website's code is out-of-date and, that in addressing the necessary functional issues, NCAC should also take a long-term approach and incorporate overall improvements to this much-used site. These improvements will further streamline our ability to serve our constituency.
Future Data Structure (as a result of this project)
We are aiming for data from our Salesforce database and the Arts Council's website databases to integrate to a certain extent, with some element of internal controls/permissions in place. Some examples of this are for the Salesforce database to provide information regarding membership status for anyone submitting information to the public databases on the website, because that status affects how their submission appears on the website. Another example is for website user history (for info submitters) to be stored in that person's Salesforce data.
Database Integration:
The website will integrate the Salesforce database with the Arts Council website's databases, so that when the public submits information to be posted on one of the four interactive website databases (events, instruction, opportunities, and directory), the information will relate to the main Salesforce CRM database.
