REQUEST FOR TRAINING/CONFERENCE SPACE

STATEMENT OF WORK (SOW)
VISN 5 Education Office



SERVICES REQUIRED:

The VISN 5 Office needs to contract for training/conference space. The intent is to award a multiple award Indefinite delivery Indefinite quality (IDIQ) contract to support occasional space needs for training.

LOCATION OF TRAINING
The training/conference site must be located within 15 minutes of the VISN 5 Office, located at 849 International Drive, Linthicum, Maryland 21090. The business must be able to accommodate the following:

Dates Needed: The amount of notice given to request a room will vary; an event can be planned well in advance or it could be a last-minute need, because some events are held when the need arises. All contractors awarded an IDIQ must respond to the request for quotes for space needed, even if the response is no available space.

At this time, there are not any known events to reserve training/conference space.

Room-Related Needs: To Be Determined in each task order (TO), but could include the following:
One large room to accommodate up to 150 individuals
At least 3 rooms for breakout sessions that can accommodate up to 50 individuals
Table and chairs are needed in the rooms (Set-up is usually with round tables or U-Shape);
Set-up shall be completed before the start of the event

Audiovisual Needs which might be required:
Audiovisual Support (Need an IT employee available onsite to assist with hooking up laptops, showing videos, etc.)
Internet Access in the Training Rooms and Wireless Accessibility for Mobile Phones
Projector for Laptop Hook-Up (Sound is required)
Podium with Microphone
Flipcharts or Whiteboards with Markers

Parking: Must have ample free parking onsite; therefore, parking for up to 150 vehicles for attendees to our event must be available.

Refreshments/Lunch:
Refreshments might need to be provided to participants to avoid disruptions that would distract from the workshop and it will also help in maintaining the timeliness set forth in the agenda. Example of the type of refreshment:B Water, Coffee, Tea, Fruit and Muffins in the morning.B Water, Ice Tea, juices, soft drinks and snacks in the afternoon. This can be decided at the time of booking the space.

There must be a cafeteria/dining facility onsite or outside catered food must be allowed on premises.
