The NCSU Libraries is seeking preservation-quality digital scans for up to 25,000 frames of
photographic negatives.
This RFQ is for the reformatting of photographic slides, naming of the digital files and delivery of files
To the NCSU Libraries via external storage media, i.e., external hard disk drives provided by client.
The digital images will be created as 8-bit, grayscale images, at a resolution of 4,000 pixels per inch
and saved as uncompressed TIFFs with a PC byte order. Preferred equipment to be used is
professional grade flatbed scanner with slide trays. Other methods and equipment may be
considered, if proposed. All scanning will be one scan per frame, i.e., a frame that contains an image
of two book pages will be one scan. All pages, including blank pages, will be scanned.
Vendor will perform image correction. Appropriate rotation, cropping to just outside the page/image,
deskewing, level adjustment and other enhancements will be made by vendor so that digital
reproductions are production ready upon return to NCSU Libraries.
All materials will be assigned a filename by NCSU Libraries. Vendor will name files using a
combination of the provided filename and a 4 zero-padded number, e.g. filename _0001.tif.
All files from an individual article will be stored in an article directory. A directory-naming scheme will
be provided.
Some negatives may be brittle and shrunken. Client can provide bidding vendors digital photographs
of examples of such materials, if requested.
Condition of some original materials may be unscannable. Vendor should communicate with client the
limitations of preservation quality scans of certain materials.
All material will be returned to NCSU Libraries from the vendor in the same condition in which it was
received by the vendor. NCSU Libraries reserves the right to hold vendor liable for damages.
