Publication of Destination Guides
Major U.S. CVB board is seeking bids for the publication of area destination guides and promotional materials, such as its Official Visitors Guide (OVG), Meeting Planners Guide (MPG), etc. The proposer is responsible for creation, disbursement of rate cards, media kits, sales, packaging, printing, and distribution of these materials, as well as any other relevant items that may be found necessary in the execution of this project by the CVB.
PROJECT SCOPE & SPECIFICATIONS
1. RESPONSIBILITY
The Successful Proposer will be responsible for the ad sale and printing
of Destination Guides. This responsibility includes(but not limited to):
a. All operational, management, and legal needs, and all associated costs.
b. Advertising sales and printing.
c. Bulk shipments.
d. Successful Proposer shall be responsible for all listing edits, corrections, and all other information by physically calling, e-mailing and other correspondence to verify information with hotel partners and vendors. Successful Proposer shall keep updated and accurate database based on the information provided by the Authority.
e. Successful Proposer to provide the Authority with a list of all advertisers prior to each issue, to be approved by Authority staff.
f. All advertisements must be approved by Authority staff.
g. Successful Proposer to conduct quarterly updates and meetings regarding design style, layout, photographs and other items, as needed.
h. All advertisers shall have a current County or City business license.
i. Fair treatment to all hotel partners in regards to advertising rates.
2. INFORMATION
Each guide published shall provide current and accurate information
including but not limited to:
a. Accommodations, restaurants, attractions, services, nightlife, shopping, tours and transportation, sports, recreation, special events, calendar events, meeting specifications, venue diagrams/layout, maps, new properties, nearby cities and surrounding areas, and other matters of interest to visitors of the County area.
b. The Authority reserves the right to edit or supply additional information to the publication.
c. The Authority and/or its designated representative shall supply the Successful Proposer with all materials for both guides in camera ready form as a starting point.
d. The Successful Proposer will be responsible for design and layout of the guides with the Authority's input. Design and layout must follow the Authority's brand standards and guidelines.
e. At the end of the contract term all guide content and working files shall be property of the Authority.
