Office Print Device Management Services
The purpose of this Request for Proposals (RFP) and any resulting contract award is to obtain management services solutions for office print devices, such as multifunction printers, color and other printers (including desktop printers), copiers, faxes, and scanners. The scope of the management services include:
Ownership, installation, service, spares, and ongoing maintenance (i.e., unified fleet management) of this equipment and associated consumable supplies (with the exception of paper and staples). The State intends for the Vendor (external service provider) to own all equipment as part of any managed service offering. To the extent that any Vendor believes that ITS should consider options to the managed services as described herein, Vendors may submit additional proposals addressing such alternatives or options.
Transition over time from the presently installed equipment to the optimum configuration of equipment, as dictated by the cost-effective life cycle management of this equipment.
Addition, change, removal, relocation, and upgrade/downgrade of equipment as the organization, workloads, or other requirements or situations change over the course of the resulting contract.
The primary objectives of the management services for officer printer/copier equipment are:
Unification of print fleet management for the associated equipment.
Promotion of user productivity.
Substantial reduction in the number of personal desktop printers.
Compliance with security and privacy/confidentiality policies and requirements.
Assistance in achieving more cost-effective office related processes and procedures.
Key considerations for offered products and services are: functional capabilities and technical soundness to satisfy business requirements, including security; availability and reliability performance; ongoing support; potential for scalability and growth; and cost. The intent is to replace present management approaches with the contract resulting from this bid in order to promote user productivity, simplify and improve the efficiency and effectiveness of the management of office print devices (including hardware and software), and derive the most value from these devices and associated print fleet management services at cost-effective prices.
