FESTIVAL EVENT PRODUCER
The HICC seeks proposals from a person or persons who are qualified to oversee the event production of the EMAF. The responsibilities of the Event Producer include, but are not limited to
working with the HICC staff and community partners to plan, produce and coordinate the festival
setup and take down. The event producer will: place all orders for festival-related purchases in
collaboration with the HICC staff; ensure that all materials, products and purchases are approved
by the HICC Executive Officer; ensure that all festival-related purchases are delivered to the
appropriate location in a cost effective fashion; record and maintain documentation for all food,
beverage and product purchases and sales; ensure that all potential damage to County, rented or
personal property is minimized; develop a disaster-preparedness plan for the festival and
communicate the plan with all EMAF partners, civil defense and volunteers; identify, contact, book
and coordinate musicians, entertainers, robotics, school and community groups; plan and create
the event schedule; organize, update and maintain a site plan/map; work with HICC staff and
media groups to ensure that information (i.e., calendars, site maps) is kept current on website and
is communicated with all committee members; ensure that the event honors the spirit and mission
of HICC and EMAF; ensure that sustainability practices are maintained throughout the event;
ensure that suitable recycling containers are available during the festival; plan and executive site
clean-up and event take-down.
