The project imagines an environment in Pembina Trails where:
â–º Teachers, students, parents, and staff collaborate safely and securely using tools provided
by the Division. Every teacher maintains their own website. Maintaining school,
Division, and department websites requires. (In this context, websites include both
Internet and Intranet sites.)
â–º Websites incorporate secure and appropriate information from Pembina Trails systems
like Mayet, SDS, SmartFind Express, and the Division’s custom applications. (For more
information on these systems, see Appendix A (page 9).) Websites support shared tools
like common calendars, class lists, e-commerce, and so on. (For more detailed
requirements, see the [Requirements] worksheet in the enclosed Excel workbook
[Pembina Trails - Bidder Response - PUT_BIDDER_NAME_HERE - 2014-07-11.xlsx].)
â–º A combination of technology and education governs information management and
security issues. For example, sensitive documents like Individualized Education
Plans (IEPs) reside on servers behind the Division’s firewall. Teachers access them from
home securely, but have learnt not to share them through Dropbox.
â–º Search and management is easier because unstructured content resides in a single
repository, whether intended for private or public consumption (e.g., Word documents,
Excel spreadsheets, web pages, blogs, wikis, and so on).
â–º Policies, procedures, and training are in place and well understood by all for reading,
adding, changing, and deleting information. Staff understand the difference between a
document and a record, and act accordingly.
â–º My Documents, network file shares (e.g., N:\), and e-mail fall out of favour as a way of
exchanging files and collaborating on group activities. Instead, people post documents to
shared sites and pull information they need, rather than having it pushed to them.
â–º Security and access are based on role and workgroup as determined by Division-wide
systems like SDS, Mayet, and Active Directory. There is little or no need to create
custom permissions for sites.
