HSU intends to implement a Document Management and Imaging (DMI) solution in order to achieve the following business goals:
1. Reduce the need for physical storage space by creating electronic copies of documents;
2. Improve the ability to search files by creating indexed systems of well organized electronic documents;
3. Reduce redundancies by replacing paper solutions with electronic documents, including integration with PeopleSoft ERP applications and related systems; and,
4. Improve efficiency by implementing workflow solutions that automate the process of routing documents among departments.
This RFP covers two components: (1) the system solution and (2) the implementation partner. Humboldt State University will not necessarily award both the solution and the implementation to the same provider and vendors need not bid on both the solution and the implementation. Vendors bidding only on implementation services must include a list of products they have worked with and supported.
The initial implementation priority will be on a document scanning solution, allowing the campus to realize the benefits of electronic document storage as quickly as possible. The secondary component, running parallel where possible, will be to automate the Appointment Document business workflow process, eliminating the routing of paper documents and wet signatures by implementing electronic document routing and digital signatures where needed.
Preference will be given to a solution that can be implemented with minimal customization. The selected solution should be feature-rich, with elements and processes that can be implemented and maintained by department staff without need for extensive and ongoing consulting hours or significant programming staff time.
