Computer Server RFP
The M.D. of Provost No. 52 is currently soliciting proposals from qualified proponents capable of providing and installing a new server, maintaining it and additional servers and the network in the M.D.'s administration office.
Requirements are as follows:
Hardware
Must run a minimum of 3 virtual machines, a file/Domain server, an exchange server, and an inventory database server.
3.5 terabytes of usable storage
Server 2008 with 20 client licenses for each virtual server.
Exchange 2010 with 20 client licenses.
Software assurance for all MS Products
Backup software, capable of partial restores, and capable of restoring to any hardware.
AVG AV for each server.
Other Hardware:
Watchguard wireless router, or equivalent. Must be capable of maintaining a remote connection for Bellamy Software.
A portable backup solution for off site storage, with three portable drives. Minimum of 1TB each. On site backups are already being looked after by a Hewlett Packard NAS.
Rackmount UPS capable of maintaining the server for 20 minutes or longer.
4 port KVM, rack mount, and 4 sets of cables.
Installation
Installation is ideally done to provide minimal interruption to regular business operations. Quotes are to be provided for regular business hours and after hours/weekend installation, including a detailed estimate of total time required.
Installation is to include transferring all files, profiles etc. from the 2 current servers to be replaced by the virtual servers. The File/Domain/Inventory are all currently on one server, and the Exchange on another.
Maintenance Contract:
The successful proponent will also be responsible for a maintenance contract encompassing all servers, and the in-office computer network, the term of which will run for the lifespan of the hardware provided unless otherwise terminated. A detailed rate for maintenance services will be provided.
The existing network includes a standalone GIS Server, and an HP NAS.
The network consists of a couple large switches, a wireless router, a wireless AP, and a couple of small switches.
The network also connects to a wireless bridge, however maintenance of the in-office network stops at the bridge.
Workstation and Printer maintenance is not included in the contract, and will be addressed on an hourly basis as needed. Proponents are encouraged to provide quotes for workstation and printer maintenance rates as may be required.
Site Visit
In order to be eligible to submit a proposal relative to this solicitation, proponents MUST visit the M.D. Administration Office (4504-53rd Ave., Provost, AB) and perform a physical inspection of the premises. Failure to meet this requirement will result in immediate disqualification, with NO exceptions.
Company Profile
Proponents shall include, in a format deemed satisfactory, information relative to company and/or individual profile which adequately demonstrates a proven ability to perform the work specified. A minimum of two references shall be provided.
Proposal Weighting
Proposals shall be weighted as follows:
Hardware Price: 25%
Maintenance Cost: 25%
Company Profile: 30%
Installation Fee: 20%
Proposal Format and Submission
Proposals may be submitted in any format the proponent deems expedient and comprehensive relative to satisfactory illustration of the noted requirements.
