Non-mandatory bidders conference 02/18/2010.
The Office has identified the following objectives for the case
management system:
The new system should provide the front office with standard and ad hoc reporting capabilities
to assist in responding to internal and external queries. Under the current system, the front
office uses mostly non‐electronic means to obtain case information. To obtain information on
case status, the deputy attorney general usually calls or emails the division chief, who in turn
contacts the assistant attorney general working on the case. The new system should provide
this information easily and electronically, with minimal data input by staff or attorneys.
The new system should assist managers in assigning, monitoring and scheduling work loads.
Under the current system, managers augment the existing case management system with
spreadsheets and Word documents to view and manage attorneys work loads. The new system should automate the data input process, allowing managers and attorneys to view the
status of their entire caseloads at a glance.
The new system should allow attorneys to manage all files related to a case or matter in a single
location. Files include contacts, notes, documents, emails, depositions, image files, web/legal
research, and time entries. By organizing files by case or matter rather than by attorney, the
new system should also help attorneys collaborate on projects by storing all case‐related
documents in one location. The new system should also allow users to customize views of
individual cases or matters, depending on individual needs.
The new system should provide administrative staff with a means to track case openings and
closings; conduct conflict checks when opening a new case; create routine documents, labels
and envelopes using the case matter database; track physical evidence and documents
associated with a case; and archive information according to State of Vermont criteria.
